and will be responsible with agendas, meetings, scheduling and travel.
The incumbent will assist with projects, drafting correspondence, developing presentations, coordinating requests, and the handling of significant communication through multiple stakeholders both inside and external to the company.
Work will be varied, administrative and project oriented.
It can involve developing alternatives and determining solutions with some of the assignments being unique and non-recurring.
Many decisions can have measurable impact on the company; often requiring interpreting internal policies, procedures and/or processes.
This position will require handing of confidential and sensitive material.
Primary Position Responsibilities Answers calls for President/CEO; provides callers with responses to all types of requests, both routine and those requiring research and follow-up.
Develops alternatives to handle requests when many times the problems are not clearly identified or involve sensitive issues.
Routinely responds back directly to the caller after performing research or follow-up.
Composes all types of correspondence or documents, primarily on behalf of the President/CEO.
Correspondence may be directed toward lenders, hotel brand franchisors vendors and other senior level executives.
Typically drafts correspondence under President/CEO's signature.
Heavy dictation at times is required to capture information in the moment.
May process data through both static and automated administrative systems including but not limited to:
brand data, blue print, and draws.
Performs research and follow-up necessary to solve problems encountered.
May identify areas where new administrative policies and procedures may be necessary and will work with the CEO to develop SOP.
The incumbent will initiate the project to develop the new policy or procedure.
Researches questions and/or problems, including those complex in nature.
Research typically will require obtaining and analyzing data from multiple sources both inside and external to the organization.
Proactively makes recommendations for resolution; documents and communicates broadly to eliminate potential of repeat occurrence.
Reconciles discrepancies with disparate information; report out to President/CEO and/or appropriate Stakeholder.
Proactively keeps President/CEO appraised of status of all projects; takes initiative and identifies areas where he/she may step in and handle issues keeping them off the desk of President/CEO BUT keeping project coordinator informed.

Proactively prepare all reports, presentations and information required by the CEO/President to for use during the trip.
May be responsible for presenting information to a group.
Responsible for assembling background materials, itineraries, agendas, topic outlines and all other resources for meetings / briefings to ensure successful engagement by the President/CEO.
Responsible for gathering data from multiple sources and merging into reports, presentations and or other sources for quick analysis and/or decision making by the President/CEO.
This can include, but is not limited to budgetary information, CAPEX, Design/Development documents, Construction Draw Requests, Brand Requirements, Contracts, Financial Requests, RFP's etc.
; obtaining proper signatures and/or obtaining backup from stakeholders where needed.
Serve a liaison between President/CEO and all others needing information or action.
Support President/CEO in creating effective and coordinated communication amongst all stakeholders inside and external to the organization.
May arrange large-scale meetings or conferences, which are typically multi-day in length.
Responsible for evaluating alternatives and making decisions regarding logistics and pricing for the room and audio/visual set-up, catering, meeting agenda and materials, and possibly travel arrangements for the participants.
Sort, prioritize and distribute all incoming mail to the President/CEO; where applicable manage the correspondence back to appropriate parties.
Maintain and manage calendar in iCloud for President/CEO.
Anticipate, analyze and proactively react to changes in priorities and tasks.
Oversee and coordinate administrative processes of others and evaluate workflows to assess where improvement and changes may be necessary for efficiency.
Handles and manages confidential and non-routine information with a high level of confidentiality and professionalism at all times.
Types and designs general correspondence, letters, charts, PowerPoint, tables, graphs, business plans etc.
with professionalism.
Proofreads for spelling, grammar, layout and potential mistakes; making appropriate changes where necessary.

Must be able to type at least 70 - 80 wpm; ability to take dictation required.
Five or more years progressively responsible administrative support work experience including direct experience in supporting high level executives with scheduling, travel, presentations, reports, and communications and property visits.
Must be able to work independently and in a team environment with flexibility to working later in the evening and can extend to weekends to keep up with the business demand of a 24/7 operation currently in a growth mode.
Must be able to multi-task, be interrupted frequently and stay on task and meet established deadlines for work production.
Must be able to adapt to changing priorities and develop proactive in planning for the upcoming week.
Stamina is required, as this is a fast paced position regularly working 50
hours per week.
Demonstrated high-level organizational skills, detail-oriented with a proven ability to handle multiple priorities and to take initiative to resolve issues.
Demonstrated exceptional verbal and written communication skills, including strong spelling, grammatical and mathematical skills.
Must be able to proofread and produce accurate, professional documents and information.
Strong proficiency with MS Office Suite and Mac experience a plus.
Experience in creating and managing spreadsheets, databases and PowerPoint presentation.
Position requires a complete knowledge of a full range of administrative processes typically gained through extensive years of experience.
Due to the sensitive nature of information which incumbent accesses on a regular basis, a confidentiality agreement is required for acceptance of this position.
